Hands On VA Services Affiliate Program

Terms and Conditions

1. Welcome to the Hands-On VA Services Affiliate Program!

By joining the Hands-On VA Services Affiliate Program and checking the agreement box in the application form, you acknowledge and agree to the following terms and conditions. This document serves as a reference and outlines the responsibilities and expectations of both parties.

Participation in the program does not constitute an employment or agency relationship. Hands-On VA Services reserves the right to modify these terms at any time without prior notice.

2. Eligibility

To participate in the affiliate program:

  • You must complete the affiliate application and receive approval from Hands-On VA Services.

  • You must be at least 18 years old and provide a valid email address for communication and commission payments.

3. Referral Commission Structure

Affiliates are eligible for commission payments based on the following structure:

Ongoing Virtual Assistance Contracts: Affiliates will receive 10% of the first four weeks of invoicing for any new client referred who initially signs up for an ongoing virtual assistance service package. This applies only to new clients who have not previously engaged with Hands-On VA Services.

Project-Based Contracts: Affiliates will receive 10% of the total project value for any new client referred who signs up for a fixed, one-time project with Hands-On VA Services. The commission is calculated based on the final agreed-upon project price at the time of contract signing and does not include any additional hours, services, or modifications requested by the client after the initial agreement.

The Ultimate Built: Affiliates will receive 5% of the total project value for any new client referred who signs up for The Ultimate Built, a one-time project with Hands On VA Services. The commission is calculated based on the final agreed-upon project price at the time of contract signing and does not include any additional hours, services, or modifications requested by the client after the initial agreement.

Commission Payment Process:

  • The referred client must mention the affiliate’s name at the time of sign-up.

  • The commission for ongoing contracts is paid after the first successful month of invoicing and at the end of that month.

  • The commission for project-based contracts is paid upon full payment of the project and at the end of that month.

4. Payment Terms

Affiliate commissions will be processed by the 15th of each month for commissions earned in the previous month. For example, commissions accrued in January will be paid on or before February 15th.

Payment Method

  • If the referred client is already an existing client of Hands-On VA Services, the commission amount will typically be deducted from their next invoice.

  • In all other cases, a commission statement will be issued, and the affiliate must submit an invoice to receive payment.

  • Payments will be made via bank transfer or PayPal unless otherwise agreed.

Minimum Payout Threshold & Holding Period

  • Payments will only be made once the minimum commission threshold of $50 is met.

  • Commissions are subject to a 30-day holding period to account for potential refunds or chargebacks.

5. Referral Tracking

  • Hands-On VA Services uses a third-party affiliate tracking system to monitor referrals and ensure commissions are attributed correctly.

  • Affiliates must ensure that their unique affiliate link is used in all promotions to receive credit for referred sales.

6. Prohibited Activities

Affiliates are strictly prohibited from engaging in the following activities:

  • Misrepresentation: Making false claims about Hands-On VA Services or its offerings.

  • Self-referrals: Using their own affiliate link to make purchases on behalf of themselves or others.

  • Spam and Misleading Promotions: Engaging in deceptive marketing, unauthorised paid ads, or unsolicited messages.

  • Violation of Ethical or Legal Standards: Participating in any illegal, unethical, or prohibited business practices.

Any violation of these terms may result in immediate termination from the program and forfeiture of earned commissions.

7. Promotional Guidelines

  • Affiliates may use approved marketing materials provided by Hands-On VA Services, including banners, pre-written copy, and social media assets.

  • Affiliates are responsible for maintaining transparency in their promotions and must disclose their affiliate relationship where applicable, in compliance with relevant advertising regulations.

8. Communication & Notifications

By participating in the affiliate program, affiliates consent to receive email notifications regarding:

  • Commission earnings and payout confirmations.

  • Program updates, including modifications to these terms.

  • Additional promotional opportunities and marketing resources.

Affiliates may opt out of marketing emails at any time. However, essential program-related communications, including commission payments and policy changes, will continue to be sent.

9. Termination of Participation

  • Hands-On VA Services reserves the right to terminate an affiliate’s participation in the program at any time, with or without notice, if any terms are violated.

  • Affiliates may also withdraw from the program at any time by providing written notice to Hands-On VA Services.

10. Limitation of Liability

Hands-On VA Services is not responsible for:

  • Any technical errors, disruptions, or failures in the affiliate tracking system.

  • Loss of commissions due to fraudulent referrals, self-referrals, or violations of program terms.

  • Any financial or business impact resulting from participation in the affiliate program.

11. Modifications to Terms

Hands-On VA Services reserves the right to update, modify, or discontinue the affiliate program at any time. Any changes will be communicated via email or posted on the official website.

12. Acknowledgment & Agreement

By checking the agreement box on the affiliate sign-up form, you confirm that you:

  • Have read and understood these terms and conditions.

  • Agree to abide by the policies outlined above.

  • Consent to receiving affiliate-related email notifications.
